RoofSurv UK Approved members shall always conduct themselves in a professional manner.
All works being carried out should be carried out by competent tradesmen carrying the correct qualifications and be polite and courteous to public.
If advice is given it should be honest and with the best interests of the consumer.
RoofSurv approved members will have their own profile page and be listed on the directory by postcode search.
Company profiles should be regularly checked to ensure that all information is correct and accurate.
Ensure good communication is maintained between the company and the client.
Give your industry a good name and have pride in your organisation.
Quotations and Contracts
RoofSurv Approved members will provide adequate and clear information on their quotations/contracts to ensure the client is satisfied with the intended project before works are started. The quotation should include any potential additional work requirements and estimation/fixed price rates.
Quotations should include the exact materials being used and manufacturer details such as warranties/compliance certificates etc
Each contract should be confirmed in writing by both parties prior to commencement of work.
All quotations should be offered with an honest approach with client’s best interest at heart.
Site visits should always be confirmed/authorised by the client.
Once an agreement has been made by the client and confirmed in writing a binding contract is formed.
Ensure that quotations are clearly laid out.
Your quotations should consider the potential limited knowledge by the client.
In some cases, emergency work is required immediately so this should be documented and costs clearly explained to the client with the minimum of a confirmed price for this before works are started, where this happens a waiver for the 14 day cooling off period should be signed by the client.
Any additional works required in the process of carrying out the original contracted works should be clearly explained and documented in writing prior to works commencing, in these circumstances a waiver should be signed for the 14 day cooling off period.
All RoofSurv approved members should always comply with consumer law.
14 day cooling off periods should be included and explained within your quotation/contracts.
Quotations/Contracts should include a clause to the client to provide suitable health and safety for the works and this should be agreed in writing prior to works commencing.
Clients should be made aware of the health and safety requirements/laws required to ensure a safe and legal project and that liability can be passed on to the client if there was any negligence on there part.
All information gathered from the member should be kept confidential and kept in line with GDPR rules.
Deposit & Stage Payments
All stage payments should be agreed prior to works commencing in writing.
Stage payment amounts should be reasonable to protect both parties.
RoofSurv members should repay any deposit or stage payments if the contract is to be cancelled less and costs incurred, this should be stated in writing.
Final payments should be agreed to be taken on completion of the works and not before the works are finished.
RoofSurv members reserve the right to stop works in progress if agreed stage payments aren’t received in the time frame agreed but the works should be left in a safe and water-proof state where practically possible within reasonable measures.
If additional works is required due to break in progress members are entitled to claim these costs from their clients.
Execution of a Contract / Specification
All works caried out by our members should be in accordance with current building regulations, manufacturers guidelines and specification of the system.
The works should be carried out to a high standard ensuring a neat and tidy finish taking pride in your work.
We expect our members to always work in a safe manner and to ensure that they keep their site clean and organised to ensure safety.
We recommend that all operatives on-site are working to a detailed specification in line with the manufacturer’s guidelines.
If a client requests that a trader deviates from a recommended guideline it should be put in writing to protect the contractor.
Work and material guarantees and material certification
A RoofSurv Approved member should guarantee workmanship for a minimum period of at least 12 months and state the warranty period for the manufacturer’s product warranty separately.
If works are carried out without warranty it needs to be put in writing prior to work commencing.
A warranty isn’t mandatory by law and it’s down to the discretion of the company, but we would strongly recommend that works are offered with a guarantee.
All guarantees must be honoured within the time frame stated.
Where possible product guarantees should be part of the contract pack.
Insurance
RoofSurv check that all members have insurance cover in place at the start of the annual membership and request the renewal certificate to be produced each year, however we do not hold any responsibility for members having adequate cover.
If requested, all members should be able to provide proof of insurance.
RoofSurv UK Ltd cannot accept any responsibility for its members.
Health & Safety
At RoofSurv UK Ltd we have a very strict stance on Health and safety, and we expect all members to always adhere to the Health and Safety rules and regulations.
A health and safety Policy should be in place and regularly reviewed.
Risk Assessments and Method Statements should be created for all tasks.
PPE should be worn wear required.
Working at heights basic level of training required as a minimum for all staff.
Always comply with Health and safety!
Advertising
RoofSurv members shall not cold call or doorstep pressure sell.
RoofSurv members shall carry identification when visiting public sites.
All members must adhere to the consumer protection in regard to unfair trading.
All RoofSurv members must ensure that all advertising is accurate and does not transgress the British Code of Advertising Practice and the British Code of Sales Practice.
Members should fully understand the laws around advertising and should seek professional advice where necessary.
Completion of Contracts / Projects
RoofSurv members will complete each contract in line with their written contract.
Exceptions are allowed with factors such as the weather, unforeseen circumstances or agreed variations to the work and other factors outside the trade member’s control. Where delay is likely to occur, a member shall inform their client in writing.
Client must make agreed payments on time to prevent becoming in breach of the agreed contract.
We would advise our members to have a formal contract completion procedure/policy within the company.
Photographic evidence of stages of the works carried out should be mandatory to each project.
Complaints
RoofSurv UK members must have their own complaints policy.
Complaints policy must be easily accessible to everyone.
We advise that consumers should look to resolve any issues directly with the client and give them the opportunity to put right any issues raised.
Members should ensure that all communication is recorded to keep transparency and to be used if a matter was to be taken further.

Where either party to a dispute invokes litigation, or goes to arbitration or adjudication outside the auspices of RoofSurv UK Ltd, RoofSurv UK Ltd shall take no further part in its resolution other than to take disciplinary measures against the member if required, in accordance with the Code of Practice once the dispute is resolved. Any correspondence or reports issued by RoofSurv UK Ltd in connection with a dispute which subsequently goes to litigation outside RoofSurv UK Ltd cannot be used by any of the parties to that dispute.
RoofSurv UK Ltd will not tolerate or look to support any wrong doings from any of there members and complaints will be logged.
RoofSurv UK Ltd has a strict complaints policy.
Publicity
Members should ensure that they advertise the RoofSurv Approved logo via website, vehicle livery, shop front etc. Consumers should be made aware that you are a member.
Members should work in accordance with the sale of goods legislation.
Members shall inform RoofSurv UK Ltd of any changes to your business status immediately.
All members shall always stick to the guidelines of their membership.
RoofSurv UK Ltd reserve the right to suspend or remove membership at any time with sufficient reason. Membership fees will still apply with the terms of your contract.
